Each year, we take a moment to reflect on the past 12 months, the progress we’ve made, the lessons we’ve learned, and the milestones we’ve celebrated together. This year, our software evolved with key platform updates and exciting new features, our teams grew, and we shared many memorable moments across conferences and events.

Product: Stability

When it comes to the product, we made platform stability and performance our top priority. Our dedicated platform squad modernized key systems, reduced technical debt, and built long-term efficiencies, ensuring CampBrain continues to reliably support every client.

Although much of this work happened behind the scenes, we introduced two major improvements for high-volume registration: 

  • Registration Periods – improves opening registration and helps us better prepare for busy registration days. 
  • Virtual Waiting Room – a Queue-It integration offering a smoother waiting experience during peak registration times.

We know that software you can rely on is critical, and performance and reliability will continue to be a major focus heading into the new year. 

Product: Modernization & New Features

Our Conversion Squad continued transforming the front end of CampBrain, page by page. This collaboration between Product and Engineering brings a refreshed look, enhanced usability, and thoughtful new features inspired by client feedback. 

By year’s end, we will have completed the conversion of the General Settings area in the Office Portal, with many more pages to come in 2026.

Service

This year, we set out to strengthen how we support our users. We expanded our educational content to ensure you have even more resources at your fingertips. Our Client Success Team delivered 30 educational webinars, added more tooltips and in-product education offering guidance across every module of the software and helping users get the most out of CampBrain.  

As we continued developing our in-house payments solution, we also expanded our expertise behind the scenes. By blending payments knowledge with our signature caring approach, we’ve been able to better support both our internal team and our users in navigating all things payments related. 

We also introduced a new mentorship structure within our Support Team to help nurture the next generation of Brainers. With significant internal growth (more on that below!), we welcomed seven new Support team members this year. Ensuring they receive strong training, ongoing support, and guidance from role models who truly embody CampBrain’s values has been a major focus. We’re proud of the impact our new team members have already made and equally proud of the mentors who have helped them thrive.

  • Mason (8 years) → from QA to Engineering

  • Wakako (10 years) → promoted to Revenue Operations 
  • Ainsley, Shania, Aaron, Tyler, Okalyna, Graeme, and Alla → joined our Support team 

Personal Milestones 

We welcomed five new babies — James, Olivia, Russ & JJ, and Margot — and celebrated the wedding of Tasha, from our Business Development team. 

Connections & Events

From professional development to campfires, 2025 was full of moments that brought us together.

State of the Brain  

We hosted two State of the Brain gatherings, our internal event for connection and growth. In the spring, one highlight was a day at Evergreen Brickworks, complete with nature time and classic camp activities. Another highlight was participating in teambuilding and professional development workshops with Shoshi Rothschild from in.tent. Shoshi uses her background in camp to work with organizations as a consultant and facilitator. She also ran sessions at BRAINSTORM this year.

 

Canoe Heads for Kids

Once again, our team took to the trails and water of downtown Toronto for a portage and paddle, in support of Amici Children’s Camp Charity. We’ve supported Amici for many years, and this event allows us to connect to our community and support our mission of getting more kids to camp.

BRAINSTORM 2025

Our biennial user conference in Toronto was a huge success! This year we hosted 91 clients and 130 CampBrain users at BRAINSTORM. Thank you to everyone who attended sessions, joined one-on-ones, or connected with us over dinner or drinks. It’s always inspiring to see our users learning and sharing ideas together.

Camp Weekend at Kandalore

Since 2015, we’ve ended each summer with a weekend at camp, and this year’s trip to Camp Kandalore was one to remember: rock climbing, canoeing, morning dips, and all the joys of overnight camp life. This event is a nice way to thank and acknowledge our employees and their families for their commitment to CampBrain. Coming together at camp allows us to connect, strengthen our relationships, and exposes our team (especially those of us who don’t have a background in camp) to the magic of camp.

Camp Administrator Hall of Fame

We celebrated ten years of honouring camp administrators who make a lasting impact in the camp world. Each of the three winners received a commemorative paddle and a donation to a camper fund of their choice. Congratulations to this year’s honourees! Stay tuned if you have an administrator you’d like to nominate in 2026 for their exceptional work.

Conferences

We attended over 20 conferences in 2025, meeting clients, gathering feedback, and sharing what’s next for CampBrain. Thank you to everyone who stopped by to say hello.

Looking Ahead to 2026

We’re incredibly proud of what we accomplished in 2025 and even more excited for what’s ahead. Our commitment remains the same: to build software you love and trust.
